Venicepromex Agency for internationalization S.c. a r.l., (hereinafter, “Venicepromex” or “Owner”) hereby intends to provide you with the information pursuant to art. 13 of Regulation (EU) 2016/679 (also called GDPR or General Regulation for the Protection of Personal Data), regarding the processing of personal data carried out to allow you to participate in the event you have selected.

 

1. OWNER OF THE TREATMENT AND RESPONSIBLE FOR DATA PROTECTION

The data controller is Venicepromex with registered office in Via delle Industrie n. 19/d – Venezia-Marghera, tax code and VAT n. 04631170273, e-mail info@vepromex.it, tel. 0039 0410999700.

2. METHOD OF EVENT MANAGEMENT AND POSSIBLE VIDEO RECORDING

The events can take place in presence or be delivered through webconference platforms. In the latter case, for remote participation it is not mandatory to activate the webcam and microphone, nor is it mandatory to access the platform with full name and surname: for confidentiality reasons it is possible to indicate a nickname that will be displayed by the other participants (p .e.g. in chat or in the disabled webcam override tile).

Some events may be recorded: participants will always be made aware of this circumstance when registering for the event, before starting the registration and, in the case of a web conference, before accessing the platform. Furthermore, areas excluded from video recordings and marked with appropriate signs will be set up for face-to-face events.

 

3. PURPOSES AND LEGAL BASES OF THE TREATMENT

Your personal data will be processed exclusively to allow you to register and participate in the event of your choice, as well as to forward you a copy of the slides presented, any supplementary documentation in relation to the contents, as well as the certificate of participation (where provided); the list of participants in the event will also be kept subsequently by the Chamber of Commerce for reporting purposes.

Following your participation in the event, Venicepromex will be able to send you a customer satisfaction questionnaire, to assess your satisfaction with the service offered.

If the event is recorded, it will be destined for publication in the channels and in the manner set out in the following point, in order to make it available for dissemination/information purposes even to subjects who were unable to participate.

All the above treatments are based on the task of public interest (art. 6, par. 1, lit. e, GDPR) attributed to the Data Controller, in particular, by art. 2, law 580/1993 and, as regards the survey of customer satisfaction, by art. 19-bis, law 150/2009.

Subject to your express consent, the contact data collected will be processed by the Data Controller also for sending information and promotional communications regarding activities, services, events and initiatives promoted by the same, by other bodies of the Chamber System and/or by other public bodies.

 

4. FIELD OF DISSEMINATION OF THE VIDEO RECORDING (IF PROVIDED)

If registered, the event may be published, in whole or in part, on the following channels:

• Venicepromex institutional website;
• Venicepromex official YouTube channel;
• Venicepromex official social channels.

 

5. AUTHORIZED AND RESPONSIBLE FOR TREATMENT

Your personal data will be processed by Venicepromex personnel previously authorized for processing and specially instructed and trained.

The data may also be processed by external subjects, formally appointed by the Data Controller as Data Processors and belonging to the following categories:

• Subjects that provide management and maintenance services for the company’s information systems;
• Subjects that provide telematic communications services and, in particular, e-mail and web conferences;
• In-house companies, entities of the Chamber of Commerce system or other subjects who, for various reasons, provide services functional to the purposes referred to in this information.

These subjects may have recourse to additional personal data processors operating in the same areas.

 

6. DATA RETENTION PERIOD

Personal data will be stored by Venicepromex within a maximum period of 2 years from the conclusion of the event.

The registration of the event, where carried out, will be published in the channels referred to in point 4 of this information for a maximum period of 10 years. Subsequently, the recordings will be kept for historical archival purposes in the company’s archives.

 

7. NATURE OF THE PROVISION OF DATA AND CONSEQUENCES OF ANY FAILURE TO PROVIDE

All data requested when registering for the event and marked with an asterisk (*) are necessary for participation and for forwarding all related communications.

As indicated in point 2, turning on the webcam and microphone remains completely optional in the case of an event via the webconference platform. Access to the platform with full name and surname also remains optional, except in the case in which the event provides for the issue of a certificate and it is therefore necessary to detect and ascertain attendance.

 

8. TRANSFER OF DATA TO NON-EU COUNTRIES

Venicepromex may avail itself, also through its Data Processors, of IT service and telematic communications companies and, in particular, of webconference telematic platforms, which could place or transit the data even in countries not belonging to the Economic Area European.

In order to guarantee an adequate level of protection of personal data, these Companies can implement the transfer only to countries (or sectors thereof) that have been the subject of specific adequacy decisions adopted by the European Commission, or on the basis of approved Standard Contractual Clauses by the Commission.

 

9. YOUR RIGHTS

The Regulation (EU) 2016/679 recognizes you, as an interested party, various rights, which you can exercise by contacting the Data Controller or the DPO at the addresses referred to in point 1 of this information.

Among the rights that can be exercised, provided that the conditions provided for by the legislation from time to time are met (in particular, articles 15 and following of the Regulation) there are:

• the right to know if Venicepromex is processing personal data concerning you and, in this case, to have access to the data being processed and all the information relating to it;
• the right to rectification of inaccurate personal data concerning you and/or to the integration of incomplete ones;
• the right to have your personal data deleted;
• the right to limitation of treatment;
• the right to object to the processing;
• the right to the portability of personal data concerning you;
• the right to withdraw the consent at any time, without this affecting the lawfulness of the treatment, based on the consent, carried out before the revocation.

In any case, you also have the right to submit a formal Complaint to the Authority for the protection of personal data, according to the methods that can be found on the website www.garanteprivacy.it
